How to quickly maintain Business Configurations in SAP S/4HANA Cloud Public Edition through Excel upload -Upload Business Configuration Feature Introduction

In the implementation process of SAP S/4HANA Cloud public edition, business configuration is an important task. It involves configuring and setting up the system to meet the the organization’s business requirements, achieving more efficient and accurate business process management and data management.

In the current version of SAP S/4HANA Cloud public edition, there are more than 4,000 different configurations to support the specific business requirements of companies in different countries and regions.

The Upload Business Configuration feature in SAP S/4HANA Cloud public edition allows significant reductions in time and effort when dealing with large volumes of business configuration data. Instead of manually finding and entering each needed configuration in the system, users can use the Upload Business Configuration feature to manage the configration data in Excel. This is particularly useful for extracting data from another system, as the data can be easily downloaded, handled in Excel, and then uploaded to the new system.

Below, I will use the example of defining customer return reasons in the sales configuration to demonstrate the specific steps of the operation.

Step 1:

Download the Excel template for the Define return reasons for customer returns configuration.

You can initiate the configuration activity by using CBC (SAP Central Business Configuration) or start the configuration activity from the Implementation Activities application in S/4HANA Cloud.

Step 2:

Check and update the configuration file. In this case, we updated a set of return reason codes and descriptions.

Step3:

Upload business configuration. To import the configuration content, navigate to Table view > Import Spreadsheet > Contents

At this point, a new tab will launch the Upload Business Configuration application. Upload the downloaded file that has the adjusted configuration content. After the upload is complete, select Step 3.

This step displays the configuration content in the file you uploaded. Here, you can also deselect any rows you do not want to upload and click on “Review” to proceed.

Review the information. If everything is correct, please select “Deploy“.

After refreshing the system, the return codes and reasons uploaded through Excel have been updated.

Note 1:

The Upload Business Configuration application in the system cannot be used directly and will prompt an error when used. Please launch the Excel upload function from the Implementation activity application.

Note 2:

Currently, in release version 2308, more than 1,400 configuration file upload functions are already supported, and more configuration upload functions are being enabled sequentially. You can view the latest list of supported uploadable configuration files through the following methods: Go to the SAP for Me website -> SAP Process Navigator -> Solution Scenario/SAP S/4HANA Cloud, Public Edition to download and view the list of objects that support configuration upload.

Note 3:

Logging into S/4HANA Cloud for implementation activities requires using BPC_Expert login.

In addition, beyond using the system’s built-in upload function, in the case of large-scale project implementation, partners could also use RPA bot to further automate the steps of uploading business configuration files, achieving more efficient configuration management. This link provides an introduction to the automated configuration file upload robot and example code for your reference.
